1. Responsibility and contact
The operator of FIXTIME is responsible for processing personal data through the platform. Its full identity, address and direct privacy contact will be published here before public launch. Any required Data Protection Officer or EU representative contact will also be included.
We prepare our services for Germany with the General Data Protection Regulation (GDPR), applicable German data protection law and rules on accessing information on users’ devices in mind.
2. Information we process
The information involved depends on whether you visit the website, use a customer account or use a professional account, and which features you choose.
- Account details: name, telephone number, optional email address, account type, verification information and supported sign-in provider identifiers.
- Profile details: profile photograph, language and notification preferences; for professionals, descriptions, trades, availability, base location and service radius.
- Job details: descriptions, photographs, service categories, service location, address, optional arrival instructions, appointments, offers, prices and job status.
- Communications: messages, timestamps, read status, support enquiries and information relevant to complaints or disputes.
- Reputation information: ratings, reviews and completed-job information.
- Device and operational information: push notification tokens, associated device information, authentication sessions and technical or security information needed to operate the service.
- Optional feature information: location updates, speech-derived text and AI analysis results as explained below.
3. Where information comes from
We receive information from you, from your device when you use relevant features, from supported sign-in providers when you choose that sign-in method, and from other participants through bookings, messages or reviews. Operational information also arises when the website or application is used.
Only provide personal information about another person where you are entitled to do so. Avoid including unnecessary personal or sensitive information in uploads and descriptions.
4. Purposes and legal bases
The intended legal bases for the platform are set out below. Each activity must have an appropriate basis; optional permissions and consent controls are being finalized as part of development.
- Providing requested account, matching, booking and communication functions: Article 6(1)(b) GDPR, where processing is necessary to perform our agreement with you or take steps you request before entering into it.
- Optional processing for which consent is obtained: Article 6(1)(a) GDPR. Consent can be withdrawn without affecting processing that was lawful before withdrawal.
- Account security, abuse prevention, necessary diagnostics and the establishment or defence of legal claims: Article 6(1)(f) GDPR, subject to an assessment of our interests against your rights. Our interests are protecting participants and maintaining a reliable, secure service.
- Meeting applicable statutory duties, such as responding to privacy requests or required accounting retention: Article 6(1)(c) GDPR, where a specific legal obligation applies.
5. Location and service addresses
We use selected service locations and professionals’ base locations, trades and service radii to support nearby discovery and job matching. You can select a location manually. Access to device location depends on the relevant device permission.
Eligible professionals receive an approximate job location. The exact structured service address and arrival details are available to the professional the customer hires. An address written in a description or visible in a photograph can still be seen by people eligible to view that content.
A professional’s exact base coordinates are not displayed in the customer-facing professional profile. FIXTIME does not sell precise location information.
6. Professional journey location
For an accepted job, the application can report the hired professional’s current position to the customer while the professional is on the way. In the current implementation, this happens with location permission granted and the relevant job screen open in the foreground.
Reporting stops when that screen is left. The journey position is cleared when work starts. Disabling location permission through device settings stops access to device location and affects features that need it.
The final feature disclosure and consent controls will be completed before public launch.
7. Photographs and service descriptions
Uploaded job photographs and descriptions help eligible professionals understand a service request. They can be shared with professionals allowed to view the job, including before one is hired.
FIXTIME re-encodes uploaded job photographs to remove embedded metadata, including GPS metadata. Visible details inside an image can still identify a person or location. Avoid uploading identification documents, financial details, medical information or other unnecessary sensitive content.
8. Optional AI photo analysis
When AI analysis is enabled and you choose to analyse photographs, FIXTIME sends the selected photographs and accompanying description to Anthropic to suggest a service category and description. Accompanying text can include text created using voice input. Images or text may contain personal information that you include.
FIXTIME stores the analysis result and operational information such as its status and processing time. Suggestions can be inaccurate; review and edit them before posting a service request. A manual service-request path is available.
The final provider terms, processing locations, retention, transfer safeguards and explicit permission flow must be confirmed before public launch. This draft does not promise that submitted content is excluded from all provider retention or training uses.
9. Optional voice input
Voice input uses microphone and speech-recognition permissions to turn your description into text. You can review the text before submitting it, or use text input instead.
Speech recognition uses the services available on your device. Depending on the device, language and configuration, processing can involve a speech-service provider outside the device. We do not claim that recognition always happens entirely on your phone.
The final speech-provider disclosures and processing details will be confirmed before public launch. You can manage microphone and speech-recognition permissions in device settings.
10. Profiles, communication and reviews
Customers can see relevant professional profile information, including a name, profile photograph, description, services and ratings. Job participants can exchange messages through FIXTIME. Contact details, including telephone numbers, can be shared when job communication is enabled.
Messages are stored to provide the communication feature. Relevant information may also be processed to handle support, investigate misuse, resolve disputes or comply with legal obligations. Access must be limited to authorized people with a relevant purpose.
Professionals may separately process information for delivering services, invoicing and their own legal obligations. Where they determine those purposes independently, they are responsible for that processing.
11. Notifications
FIXTIME provides in-app notifications and, where enabled, push notifications for account and job updates. Push delivery uses Expo and the relevant platform service, such as Apple Push Notification service or Firebase Cloud Messaging.
Delivery involves a push token and the notification payload. Notifications may appear on a lock screen according to device settings. You can manage push notifications in the available FIXTIME settings and in your device settings.
12. Website storage, analytics and waitlist
The website uses sessions and a language-preference cookie. The application stores information needed for authentication and preferences. Device storage or access must meet Section 25 TDDDG: consent is required unless an applicable statutory exception, such as strict necessity for an expressly requested service, applies. Related personal-data processing also needs a GDPR legal basis.
The website can record interactions such as page views, language changes, navigation clicks and waitlist submissions. If you join the waitlist, the submitted email address and optional market information are stored to administer it.
The final storage inventory, analytics configuration, retention and any necessary consent or unsubscribe controls will be published before public launch.
14. Payments and subscriptions
Integrated payment and subscription functions are not part of the current implemented payment flow. If they are introduced, this policy will be updated to identify the providers, information processed, legal bases and retention before the relevant processing begins.
15. International processing
Providers may process information outside Germany or the European Economic Area. Where GDPR international-transfer rules apply, an applicable transfer mechanism is required, such as an adequacy decision or appropriate safeguards including Standard Contractual Clauses and any necessary supplementary measures.
Actual recipient entities, destinations, safeguards and how to obtain information about them will be confirmed before public launch. Offering FIXTIME in Germany does not remove GDPR obligations merely because an operator or provider is established elsewhere.
16. Retention and account deletion
Retention must be limited to what is necessary for the stated purpose, including any justified period for disputes, legal claims, security or statutory recordkeeping. Records no longer needed should be deleted or anonymized.
Current cleanup is scheduled to remove unattached draft photographs older than 24 hours and unused AI analyses older than 30 days. The complete schedule for account records, jobs, messages, attached photographs, logs and backups is still being finalized.
A user-facing account deletion process and a direct route for privacy requests must be completed before public launch. The current settings screen does not provide account deletion. Any information retained following deletion will need a specific lawful reason and a defined retention period.
17. Your privacy rights
Under the GDPR, subject to the applicable conditions, you can request access, correction, deletion, restriction of processing and data portability. You can withdraw consent and lodge a complaint with a supervisory authority.
You may object to processing based on legitimate interests for reasons relating to your particular situation. Processing must then stop unless the applicable grounds permit it to continue. You may object to direct marketing at any time.
Requests are generally free of charge and must normally be answered within one month. Where a permitted extension is needed, you must be informed within that month. Proportionate identity verification may be necessary. A direct privacy-request contact will be added here before public launch; the development status does not remove your statutory rights.
18. Supervisory authorities
You may complain to a data protection supervisory authority, particularly in the EU member state where you live or work, or where an alleged infringement occurred. You do not have to contact FIXTIME first.
In Germany, the relevant authority depends on the circumstances and jurisdiction. The appropriate authority for the finalized operator will be identified before public launch.
19. Automated matching
Automated matching rules use service categories, location, service radius and a customer’s selected professional to determine job eligibility. Optional AI analysis suggests descriptions and classifications that users can review.
The assessment of whether any processing constitutes solely automated decision-making with legal or similarly significant effects under Article 22 GDPR will be completed before public launch. Any applicable explanations, rights and safeguards will be added to this policy.
20. Security, age eligibility and updates
FIXTIME uses access controls, authenticated account access and controlled media access to protect information. Security measures must remain appropriate to the processing risks. No internet-based service can guarantee absolute security.
FIXTIME is not designed as a service for children. The minimum age and corresponding registration rules will be finalized in the Terms of Service before public launch.
We update this notice as features, providers and legal arrangements change. Its revision date identifies the current version. Material changes to processing require appropriate notice, and new consent must be requested where required.
